Policies & Procedures

Kids ´R´ Kids is open to you, the parent, any time your child is present in the school. For the safety of all children, we do require that you make your presence known to the person in charge, and cooperate in not disrupting the Center´s programParents are encouraged to eat breakfast or lunch with their child(ren) at our Center at any time.

Children
Kids ´R´ Kids Learning Academy is open to children ages 6 weeks to 14 years old without discrimination on the basis of political affiliation, religion, race, color, sex, mental or physical disabilities.

Hours of Operation
Hours of operation for Kids ´R´ Kids Learning Academy is Monday through Friday from 6:30 am - 6:30 pm, 12 months a year. 

If you have called by 6:00 pm to notify us of a delay in picking up your child, there will be a charge of $10.00 for the first 5 minutes and $1 per minute after 6:35 pm which will be charged to your account immediately. This fee may be waived by a member of Management.

If there is no phone call to notify the school of a delay, there will be a charge of $25.00 for the first 5 minutes and $1 per minute after 6:35 pm which will be charged to your account immediately. This fee may not be waived.

If children are left at the Center after closing time and no word is received from the parent, or an emergency contact cannot be reached, authorities will be contacted.

Kids `R` Kids of South Riding expects parents to respect and abide by our hours of operation. We recognize it is not always possible to predict traffic or work schedules. If it is not possible to pick up your child by 6:30 pm we ask that you call us no later than 6:00 pm so that we may tell your child when to expect you so he/she won`t worry.

If there are three or more incidences within one quarter, your child may be disenrolled and not allowed to return without the Executive Director`s permission and a new registration fee will be applied.

Standard Holidays observed by Kids ´R´ Kids Learning Academy are:

  • New Year`s Eve--closed at noon
  • New Year`s Day
  • Memorial Day
  • Fourth of July
  • Labor Day
  • Thanksgiving Day
  • The day after Thanksgiving
  • Christmas Eve
  • Christmas Day
  • The day after Christmas

When it comes to closing for inclement weather, we will do our best to follow the closing guidelines for the Federal Government. If a situation occurs that local weather is extreme, Kids 'R' Kids South Riding reserves the right to close or delay opening. This decision will be made by 4am the day of and will be communicated to parents via e-mail, website notification, and our Facebook page.  

Forms
Upon enrollment, your child(ren) will need all state, county and Kids `R` Kids forms completed in a timely manner. All forms necessary will be provided by Kids `R` Kids of South Riding. All forms need to be received by the office before your child can start in our program.

Information on forms regarding your child(ren) or specific Center forms must be updated as needed.

Nutrition
Breakfast, lunch, morning and afternoon snacks are available at Kids `R` Kids South Riding for no additional charge.  Our school also provides monthly menus so parents are aware of what meals and snacks are served. Our menus offer vegetarian and beef alternatives for dietary or cultural requirements. Healthy snacks are provided while keeping sugar to a minimum. Our center exceeds the state recommendations with nutritionally sound and delicious meals. Menus can be found in each classroom and in the front office as well as online.

For bottle-fed children, parents must provide prepared bottles with the bottle and lid clearly labeled with the child`s first and last name. Any baby food that has been opened will be sent home at the end of the day along with any unused bottles.

Fees
Kids `R` Kids of South Riding is an all-inclusive tuition school.  We require tuition to be paid by ACH transaction.  A voided check must be provided upon enrollment for the account to be used for tuition payment.  A tuition and fee schedule will be provided by Kids ´R´ Kids of South Riding. You will be informed of all rates, discounts, late fees,  registration fees, check return fees, and any Center specific fees for drop in or part time care. The tuition and fee schedule will also provide you with information as to when payment is due and any late charges to be applied.

Medication

Kids ‘R’ Kids of South Riding will not administer any medication to children. The only exception to this will be emergency medication such as EPI pens. 


Medical Emergency
If a child becomes ill, injured, or has an adverse reaction to prescribed medication while at the Center, the parent(s) or emergency contact person will be notified immediately.

If it is necessary to seek immediate medical attention for a child, the child will be transported to our designated medical facility, HCA Stone Spring Emergency Center which is located at 24570 Gum Spring Rd, Sterling VA 20166
.  The child´s vehicle and emergency medical permission forms, as well as the health information file, will accompany the child.

In the event of an occurrence of a communicable disease as outlined by the Department of Health, written notification will be posted outside the Boo-Boo room within 24 hours or the next business day.


Transportation (To and From Public School)
Transportation is provided to and from public or private elementary schools in South Riding. We service many of the local elementary schools. Please check with management for a list of current schools.

Transportation Agreements are signed once for each school year.
Vehicle Emergency Forms must be completed and information kept up-to-date.

Please have your school age child at Kids `R` Kids South Riding by 7:00 am to ensure that all children get loaded onto the bus in a timely manner. It will be the responsibility of the parent to bring their child to school if they arrive at the center after 7:00am. 

If your child will NOT be transported by the Center from school at the end of the school day, you must notify us by 1:30 pm. If a child does not show up for the afternoon bus pick up, the bus driver immediately calls Kids `R` Kids so that the parents and the school itself can be called to locate the child.

Transportation (Field Trips)
Field Trip Permission Forms must be signed and dated for each field trip.
Vehicle Emergency Forms must be completed and information kept up-to-date.
Children going on field trips must wear a Kids ´R´ Kids t-shirt which is provided.


Internet Access
Internet access to your child´s classroom is by password only. By enrolling your child at Kids ´R´ Kids South Riding, you consent that your child(ren) may also be seen on the Internet by other parents viewing with passwords.  Internet Access is available via Watch-Me-Grow. Please go to www.WatchMeGrow.com to register.

Severe Weather, Fire or Emergency Situations
If an emergency situation develops such as severe weather, fire, physical damage to the building, or any other situation that poses a threat, the safety of the children is our first concern.

The Center is equipped with a weather band radio, a fire alarm sprinkler system and fire extinguishers. Fire and severe weather drills are conducted according to state and county regulations or every 30 days.

Alcohol, Drugs, and Tobacco
In our effort to provide a safe, healthy environment for each child to grow and develop, we maintain a center free of alcohol, drugs, and tobacco use. The use or presence of alcohol, drugs, and tobacco is prohibited in the building or anywhere on the grounds by Center staff, parents, or anyone visiting the Center. The use or presence of alcohol, drugs, and tobacco is prohibited during any outing or field trip, as well as, on any vehicle used by the Center to transport your child(ren).

Discipline
At Kids ´R´ Kids Learning Academies we use a method of "redirection" to guide your child(ren) toward appropriate behavior. If a child is engaged in behavior not conducive to a safe and happy learning environment, the teacher will "redirect" the child toward appropriate behavior. (The use of physical punishment or harsh language is prohibited.)

Parents or guardians are required to abide by the Kids ´R´ Kids Discipline Policy any time they are on center property.

Dismissal Policy
The staff will work with each child to fulfill the needs of that child, and every effort will be made to provide a positive learning experience. Special needs will be accommodated when possible.

Kids ´R´ Kids Learning Academies reserves the right to ask parents to make alternative arrangements for care if it is determined that a child´s needs cannot be met, or the child has not adjusted to group care provided by the Center. In the event behavior becomes disruptive to the program or becomes a problem that poses an unsafe situation for the child or other children in the class, alternative arrangements will be required.

If you, as a parent, are uncooperative in completing and returning forms, fail to pay your tuition on time, fail to follow any state or county regulations, or fail to follow any Kids ´R´ Kids Policy or Procedure, it may be necessary to dismiss your child(ren) from the Center.

The Parent`s Role
The relationship between parents and Center staff is vital to the success of a child´s experience. A partnership must be formed the first day, with open communication and understanding that the development and growth of the child is our top priority.

Parents can assist and help ensure a smooth transition by doing the following:

  • Sign children in and out at the front desk and then escort them to their designated class.
  • Have all forms completed promptly and update forms as needed when changes occur (i.e. new phone number, address, etc.)
  • Keep staff informed of special needs or changes that might affect your child´s behavior. Please notify the Center if your child is ill and please do not bring an ill child to the Center.  
  • Notify the Center if your child will be absent or if you will be later than usual picking up your child.
  • Please provide a change of clothes marked with your child´s name (Center is not responsible for lost clothing).  Children should be dressed properly for the weather and play. Do not allow children to bring toys.
  • Parents are always encouraged to participate in the Center´s special activities. Please attend scheduled parent meetings and conferences, ask questions and address concerns as they arise.


Kids ´R´ Kids Learning Academy reserves the right to change or revise any policies, procedures, or tuitions/fee schedules when deemed necessary. Written notification will be provided to parents.
